Protecting your personal data is central to Rendoc.

Rendoc is a Cameroonian civic platform designed to make it easier to report, search for and return lost or found administrative documents.

This policy explains what data we collect, why we use it, how it is protected, who it may be shared with, and what your rights are.

1. Who we are

Rendoc is a Cameroonian civic platform developed and operated by Audin Junior Nzousi Mboungnia, based in Douala, Cameroon.

2. What data we collect

Rendoc applies a principle of minimisation: only the information necessary for the service and its purposes is collected.

2.1 Account data

When an account is created, we may collect:

  • first name
  • last name
  • email address
  • phone number, where provided
  • password in protected form
  • information required for account security
  • information about the status and activity of the account

Passwords are never stored in plain text.

2.2 Report data

When you report a lost or found document, we may collect:

  • the document type
  • the characteristics needed to identify it
  • the information needed for matching
  • the region, city and locality
  • the date of loss or discovery
  • any additional information provided voluntarily
  • any attachments allowed by the service

The information requested may vary depending on the type of document reported. Rendoc uses configurable forms so that the information collected fits each document type.

2.3 Data used for matching

Some information provided in a report may be used by the automatic matching engine.

This engine compares certain characteristics of reports in order to identify possible matches between a lost document and a found one. The system may use comparison, similarity, weighting and threshold mechanisms.

Information used for matching is not intended to be published directly.

2.4 Browsing and technical data

To operate, secure and maintain Rendoc, we may process certain technical data, including:

  • IP address
  • browser information
  • device type
  • preferred language
  • session information
  • technical logs
  • connection dates and times
  • events required for the security of the service

2.5 Contribution data

Rendoc may offer a voluntary contribution system allowing users to support the running of the platform.

In that context, we may process:

  • the contribution amount
  • the transaction status
  • the payment method
  • the information required to process the transaction
  • the phone number used for the transaction
  • information provided voluntarily to issue a receipt

Payments are processed with the assistance of our payment provider My-CoolPay. Rendoc does not collect banking information that is not necessary for its operation.

3. Why we use your data

Your data may be used to:

  • create and manage your account
  • allow you to report a lost or found document
  • automatically search for matches
  • calculate similarity levels between reports
  • inform you when a potential match is detected
  • enable contact after a match is confirmed
  • enable the exchanges required for the return
  • handle user reports and contributions
  • process voluntary financial contributions
  • ensure the security of the platform
  • prevent abuse and fraudulent use
  • respond to support requests
  • improve the reliability and performance of the service
  • comply with our legal obligations

We do not sell your personal data for commercial purposes. We do not use your personal data for targeted advertising.

4. How we protect your data

Data security is built into Rendoc's architecture.

Depending on their nature and use, some data may be subject to protection measures such as:

  • encryption
  • hashing
  • masking
  • access restriction
  • permission control
  • session protection
  • limited public exposure

This approach makes it possible to distinguish information intended to be publicly visible from information requiring stronger protection.

5. Public and private information

Information that may be made public

Depending on the report settings, certain general information may be displayed, including:

  • general document type
  • region, city and locality
  • date of loss or discovery
  • general information identifying a report

Protected information

Some information is considered private or sensitive, including:

  • document numbers
  • dates of birth
  • detailed personal information
  • information used to verify a match
  • information directly identifying a person

This information is not published openly.

6. How the matching engine works

When a report is created, some of its information may be compared with that of other compatible reports.

The system may then produce a proposed match when a sufficient level of similarity is reached.

A match is a proposal that must be confirmed through the process defined by Rendoc. It does not automatically mean that someone has recovered their document.

When a match is confirmed, only the information necessary for the return process may be shared with the people concerned.

7. Data sharing

Rendoc does not sell its users’ personal data.

Some data may nevertheless be processed or disclosed in the following situations.

7.1 Confirmed match

After a match is confirmed, certain information may be shared with the other party where it is necessary for the return of the document. Only the necessary information is shared.

7.2 Technical providers

Some data may be processed by technical providers required for Rendoc to operate, including:

  • Vercel, for hosting and running the application
  • Neon, for database hosting
  • My-CoolPay, for processing financial contributions

These providers act solely within the scope of the services required for the platform to operate.

7.3 Legal obligations

Some data may be disclosed where a legal obligation or a request from a competent authority requires it.

8. Data retention

Rendoc keeps data only for a period compatible with the purposes for which it is processed and with applicable obligations.

Some data may be kept longer where it is necessary:

  • for the history of returns
  • for the security of the service
  • to prevent abuse
  • to resolve disputes
  • to comply with legal obligations
  • to preserve evidence needed to defend our rights

9. Account deletion and anonymisation

Rendoc does not necessarily physically delete historical data when a user requests the deletion of their account.

This approach is necessary to preserve the integrity of reports, matches, conversations and the history of returns.

When a user requests the deletion of their account, the information directly identifying them is replaced with anonymised data. This covers in particular:

  • last name
  • first name
  • email address
  • phone number
  • information directly associated with their identity

Once anonymisation is complete, the anonymised data is no longer used to personally identify the former user.

10. Your rights

In accordance with applicable regulations, in particular Cameroonian Law No. 2024/017 of 23 December 2024 on the protection of personal data, you may exercise the following rights, subject to the conditions and exceptions provided by law.

Right of access

You may ask what personal data Rendoc holds about you.

Right to rectification

You may request the correction of inaccurate or incomplete personal data.

Right to erasure

You may request the erasure of your personal data where the conditions provided by the regulations are met. Where certain data must be kept to preserve the integrity of the service, Rendoc may anonymise it instead.

Right to restriction of processing

In certain situations, you may request that the use of your data be restricted.

Right to object

You may object to certain processing of your data where the regulatory conditions are met.

Right to portability

Where this right applies, you may request to receive your data in a structured and commonly used format.

Right to withdraw consent

Where processing is based on your consent, you may withdraw it at any time.

Right to contest an automated decision

You may request information about automated processing concerning you and, where the regulations provide for it, contest a decision based solely on automated processing.

11. How to exercise your rights

You may exercise your rights:

  • from the Support section of Rendoc

Rendoc may request information to verify your identity before handling certain requests.

12. Cookies

Rendoc uses only the cookies required for the service to work, in particular to:

  • keep your authentication session
  • remember your language
  • remember your display preference
  • secure your session

Rendoc does not use advertising cookies or third-party tracking cookies for advertising purposes.

13. Changes

This policy may be amended to reflect changes to Rendoc, new features or new regulatory obligations.

In the event of a significant change, users may be informed by email or by a notification in the application.
